Privacy Policy

This policy explains what information S Universe collects when you visit this website, how that information is used, who it is shared with, and the choices available to you.

Effective date: TODO — confirm effective date before publishing

TODO — Confirm before publishing

This policy was drafted from the website's verified technical behaviour. The following business and legal details could not be verified from the site and must be supplied or confirmed by S Universe. Placeholders are marked TODO throughout. Do not publish this page until every item is resolved and the policy has been reviewed by qualified legal counsel.

  • Full registered legal entity name (the site shows the trading name "S Universe" only)
  • Registered business address
  • Dedicated privacy contact address (only hello@suniverse.ai is published on the site today)
  • Effective date and governing law / jurisdiction
  • Which privacy regimes S Universe determines apply to it (for example UK/EU GDPR, CCPA/CPRA) — the rights sections below are written conditionally and must be finalised
  • Specific retention periods for form submissions and identified-visitor records
  • Whether RB2B's Global Company-Level Identification will be enabled, which changes the consent and transfer position
  • Which domain is canonical for legal purposes — this site is served from suniverse.io, suniverse.ai and selleruniverse.io
  • Whether an EU/UK representative or Data Protection Officer is required and, if so, their details

1. Who this policy covers

This policy applies to this website, which is served from the domains suniverse.io, suniverse.ai and selleruniverse.io (including their www subdomains).

It does not cover any separate product, customer portal, or service environment operated by S Universe, and it does not cover third-party websites that we link to.

TODO — Insert the full registered legal entity name and registered business address of the controller responsible for this website.

2. Information you submit through our forms

This website has one contact form, presented as a pop-up on every page and opened from calls to action such as "Book a consultation" and "Contact". When you complete and submit that form, we collect the information you enter:

  • First name
  • Last name
  • Work email address
  • Company
  • Job title
  • Phone number
  • Area of interest
  • Current ERP
  • Company size
  • Project timeline
  • Primary challenge
  • Any message you choose to write

Alongside what you type, the form records context about how you arrived at it, so that we can respond appropriately and understand which parts of the site generate enquiries. These fields are not visible in the form, and they are collected only at the moment you submit it:

  • The page address you submitted from
  • The referring address your browser reported, if any
  • Campaign parameters present in the address you arrived on (utm_source, utm_medium, utm_campaign, utm_content)
  • Which call to action you used, and where on the page it appeared

The form also contains a hidden anti-spam field. If it is completed — which only automated software would do — the submission is discarded and its contents are not retained.

Providing this information is voluntary. If you would rather not use the form, you can contact us by email instead.

3. Website usage and technical information

Like any website, this site is delivered by a hosting provider that processes basic technical information necessary to serve pages to you and to keep the service secure and available. This typically includes your IP address, browser type, device characteristics and the pages you request.

The site also stores a single value in your browser's session storage to remember that you have already seen the homepage introduction animation, so it does not replay on every page you open. It is cleared when you close your browser, it contains no personal information, and it is not transmitted anywhere.

Beyond this, the site does not run session recording, heat mapping, scroll tracking or similar behavioural monitoring.

4. Cookies and similar technologies

Cookies are small files stored by your browser. This website uses them in two distinct ways.

Strictly necessary

Some storage is required for the site to function and cannot be switched off. This includes the record of your own cookie choices, which we must store in order to honour them, and any cookies our hosting provider sets to deliver pages and process form submissions.

TODO — Confirm and list the exact strictly necessary cookies set by Webflow (our hosting provider) for page delivery and form handling.

Marketing

These are only ever set if you agree to them. Today this category covers the visitor identification technology described in section 5. If you do not accept marketing cookies, none of the cookies in the table below are set, and the script that would set them is never loaded.

5. Visitor identification technology

If you accept marketing cookies, we use a service called RB2B to try to identify business visitors to this website. The purpose is to understand which companies and roles are researching our services, so that our team can follow up with relevant information.

RB2B is required by its provider to disclose the following:

When you visit or log in to our website, cookies and similar technologies may be used by our online data partners or vendors to associate these activities with other personal information they or others have about you, including by association with your email.

Where a visitor is matched, RB2B may make available to us information such as name, job title, LinkedIn profile address, business email address, company name, industry, company size, estimated revenue, approximate location, the pages visited, the referring address and whether the visit is a repeat one. We may then use that business contact information to contact you about our services.

Two things are worth being clear about. First, identification is attempted only after you have accepted marketing cookies — the RB2B script is not loaded at all before that point. Second, RB2B's person-level identification operates only for visitors it determines are located in the United States; RB2B applies a location check before attempting it.

How to opt out of RB2B

You can opt out of this identification independently of your choices on this site:

  • To opt out of the underlying data provider, visit app.retention.com/optout.
  • If you are covered by the GDPR, you may also use RB2B's opt-out at rb2b.com/rb2b-gdpr-opt-out.

You can also decline or withdraw marketing cookies at any time using the button in section 11, which stops any further identification on this site.

6. Third-party service providers

We rely on the following third parties to operate this website. Each processes information on our behalf or, where indicated, in its own right.

ProviderRoleWhat it involves
WebflowWebsite hosting and form processingServes this site and stores the submissions you send through our form.
Google FontsTypographyFonts are requested from Google's servers, which means your IP address is disclosed to Google when a page loads. This request is necessary to render the site as designed.
RB2BVisitor identificationOnly if you accept marketing cookies. See section 5.

We do not sell access to our website's data to unrelated parties, and we do not operate advertising or retargeting pixels on this site.

TODO — If RB2B data is later forwarded to an internal system, or if form submissions are mirrored to an automation platform, both must be added to this table before that change goes live.

7. Analytics and marketing

This website does not currently run any analytics product. There is no Google Analytics, no Google Tag Manager container, no advertising pixel and no retargeting tag on this site. Aside from the visitor identification described in section 5, we do not track your browsing.

If that changes, this policy and our cookie banner will be updated before the new technology is enabled.

8. Why we use this information

  • To respond to you. When you submit the form, we use what you provide to reply to your enquiry and to prepare a relevant response.
  • To provide and improve our services. Understanding the challenges and systems described in enquiries helps us scope our work.
  • To operate and secure the website. Technical information is processed so that pages load, forms work and abuse is prevented.
  • To understand demand and follow up. Attribution fields and, where you have consented, identification data help us understand which services are being researched and contact interested businesses.

Where a legal basis is required for this processing, we rely on your consent for anything in the marketing category, and on our legitimate interest in operating a business website and responding to enquiries for the remainder.

TODO — Confirm the legal bases above with counsel once the applicable privacy regimes have been determined.

9. How long we keep information

We keep information only for as long as it is needed for the purpose it was collected for, and for as long as we are required to keep it.

  • Form submissions are retained in our website platform and in our records of the enquiry.
  • Identified visitor records, where consent has been given, are retained for as long as the relevant business relationship or prospect record is active.
  • Your cookie choice is stored in your own browser until you clear it or change it.

TODO — Insert the specific retention periods S Universe applies to form submissions and identified visitor records. These have deliberately not been stated, because an inaccurate retention period is itself a compliance problem.

10. Security

The website is served over an encrypted connection. Form submissions are transmitted to and stored by our hosting platform, and access to submissions is limited to S Universe personnel who need it to respond to enquiries.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

TODO — If S Universe holds security certifications or applies specific organisational controls that it wishes to state here, add them. Do not claim any certification that is not held.

11. Your cookie and tracking choices

When you first visit this site you are asked whether you accept marketing cookies. Nothing in the marketing category is loaded before you choose, and declining is a single click.

You can revisit that decision at any time — your current setting will be shown, and any change takes effect immediately:

Change your cookie preferences

Withdrawing consent stops any further identification. It also clears the identification cookies listed in section 4 from your browser. Information already collected while consent was active is handled as described in section 9, and can be dealt with through the rights in section 12.

You can additionally block or delete cookies in your browser settings, and use the RB2B opt-outs in section 5. Because your choice is stored in your own browser, you will need to set it again on a different browser or device, or if you clear your browser storage.

12. Your privacy rights

Depending on where you live, you may have some or all of the following rights over the personal information we hold about you:

  • To ask what personal information we hold and obtain a copy of it
  • To have inaccurate information corrected
  • To ask us to delete information
  • To object to or ask us to restrict certain processing
  • To receive information you gave us in a portable format
  • To withdraw consent at any time, without affecting processing that already took place while consent was active
  • To opt out of the sale or sharing of personal information, and of targeted advertising, where those rights apply to you
  • Not to be discriminated against for exercising any of these rights

To exercise any of these, contact us using the details in section 13. You may also have the right to complain to your local data protection authority.

Note on visitor identification and "sale" or "sharing". Identification technology of the kind described in section 5 may constitute a sale or sharing of personal information under some United States state privacy laws. S Universe must determine whether this applies to it and, if so, publish a "Do Not Sell or Share My Personal Information" mechanism.

TODO — Obtain a determination on this point and add the required opt-out link if applicable.

TODO — Once the applicable privacy regimes are confirmed, restate this section to name them and describe the response timeframes S Universe commits to. The list above is deliberately generic and commits to no statutory deadline.

13. Contact us

For any question about this policy, or to exercise any of the rights in section 12, contact us at hello@suniverse.ai.

TODO — Replace or supplement this with a dedicated privacy contact address, and add the registered postal address. The address above is the general contact address published in the site footer and is the only verified address available.

14. International transfers

Our hosting provider and the visitor identification service described in section 5 are United States based, and the identification script is served from infrastructure in the United States. If you access this site from outside the United States, information described in this policy will be transferred there.

TODO — If S Universe serves visitors in the UK or EEA, confirm the transfer mechanism relied on and state it here.

15. Children

This is a business website intended for professional audiences. It is not directed at children, and we do not knowingly collect information from them. If you believe a child has provided us with personal information, contact us and we will delete it.

16. Changes to this policy

We may update this policy as the website changes. When we do, we will revise the effective date at the top. If a change materially affects how we use your information — for example, adding analytics or enabling a new category of tracking — we will ask for your cookie choice again before that change takes effect.
